Connecting HubSpot

Plan required: HubSpot integration is included on the Pro plan and above. On Starter or Growth, you'll see a friendly note explaining how to upgrade.

When HubSpot is connected, every new lead your agent captures is automatically pushed to your HubSpot account as a contact (with an optional note and deal).

What gets sent to HubSpot

For every new lead:

  • A contact is created or updated (matched by email).
  • A note is added to the contact with the visitor's message and which agent captured them.
  • If you turn on "Also create a HubSpot deal for each new lead", a deal is created and associated to the contact.

We never read your CRM data. The permissions Coffield.io requests are limited to creating contacts, notes, and deals. We don't pull your existing pipeline.

Connecting your account

  1. Go to AI Agents → External integrations in the sidebar.
  2. Find the HubSpot CRM card.
  3. Click Connect HubSpot.
  4. You'll be sent to HubSpot to sign in and choose which HubSpot account to connect.
  5. Approve the permissions screen.
  6. You'll be sent back to Coffield.io with a green confirmation banner: "HubSpot connected successfully."

That's it — new leads will start flowing immediately.

Turning on deal creation

By default we only create contacts and notes. To create a deal as well:

  1. Go to AI Agents → External integrations.
  2. On the HubSpot card, check "Also create a HubSpot deal for each new lead".

You'll get a green confirmation toast: "Now creating a HubSpot deal for each new lead."

To stop creating deals, uncheck the box.

Seeing what's been pushed

The HubSpot card on External integrations shows live counts:

  • Contacts pushed — total contacts created or updated
  • Notes pushed — total notes added
  • Deals pushed — total deals created (if enabled)

If there's been a recent failure, a small red note shows the last error message so you (or our support team) can diagnose it quickly.

Disconnecting

  1. Go to AI Agents → External integrations.
  2. On the HubSpot card, click Disconnect.
  3. Confirm.

Disconnecting only removes the link between Coffield.io and your HubSpot account — it does not delete contacts, notes, or deals already pushed.

Troubleshooting

Symptom What to try
"Couldn't connect — please try again." Sign back into HubSpot in another tab, then retry. If it keeps failing, email support@coffield.io.
New leads aren't showing in HubSpot Check the integration card on External integrations. If you see a red "Last error" note, copy it and email support.
I see contacts but no notes Make sure your HubSpot account has permission to create notes — admins can change this in HubSpot's user settings.
I want to send leads from a specific agent only Today the connection is workspace-wide. Per-agent routing is on our roadmap — email support@coffield.io if this is important to you.

Don't have HubSpot?

We're adding more CRMs in upcoming releases (Salesforce, Pipedrive, etc.). In the meantime, on the Growth and Pro plans you can configure an outbound Webhook that fires for every new lead — most other CRMs and tools (Zapier, Make, n8n) can receive webhooks. See Webhook Endpoints in the AI Agents menu.
